Privacy Policy

Who are we?

Rutherglen Repertory Theatre is an amateur community theatre group operating primarily in Rutherglen and Cambuslang.  We are a voluntary group and a registered Scottish charity.  We provide theatrical productions in our local community and an opportunity for people to participate in such productions.

 

What do we use your data for?

Rutherglen Repertory Theatre uses personal data for a number of purposes:

  • Membership – we collect and use data from our members in order to administer their memberships, carry out essential management of our organisation and contact members regarding the administration and activities of the Theatre.

  • Ticket purchases – when you purchase tickets from us online through Ticketsource (who are contracted to provide this online ticket sales service for us) we use the personal data you provide to administer this ticket purchase and if necessary to contact you regarding it.  This also applies to personal data of those who have purchased or reserved tickets in person or on the telephone through a member of Rutherglen Repertory Theatre; this data is entered into the Ticketsource system on your behalf in order for us to administer the sale/booking and contact you regarding this.

  • Marketing – we may use your personal data to contact you to inform you of the productions and activities of Rutherglen Repertory Theatre, but only if you have specifically consented to this when purchasing tickets through the Ticketsource site.  We only contact you via the mediums you have consented to.

  • Communication – we use your data to communicate with you when you have contacted us through our website, social media or in any other way.  We will use this for the purposes of communicating with you regarding your enquiry and for any tasks which must be undertaken in order to respond to your enquiry/request.

  • Gift aid - where members or donors provide personal information for us to claim gift aid as a registered Scottish charity this data will be used for that purpose.

  • Legal requirements – We will use your data for any purpose required by law.

 

What personal data do we collect?

  • For members – we collect names, postal addresses, email addresses and telephone numbers; we also collect relevant UK taxpayer information for the purposes of claiming gift aid when a member consents to this by completing these details.

  • For ticket purchases/bookings – we may collect names, postal addresses, email addresses and telephone numbers from those purchasing or booking tickets.  We do not have access to the bank/credit card details you provide on the Ticketsource website when making a purchase

  • For correspondents – if you correspond with us by any means we may collect your name, postal address, email address, and telephone number.  If you voluntarily provide us with any other personal information this may be collected too (e.g. if you enter this in your message on our website we will receive it in an email message).

  • For donors – if you donate to Rutherglen Repertory Theatre and consent to our claiming gift aid in relation to this donation we collect relevant UK taxpayer information.

 

How long do we keep your personal data?

  • Membership data – personal data collected from members at the time of their joining or renewing their membership will be retained for as long as you remain a member of Rutherglen Repertory Theatre.  It will be deleted within one year of your no longer being a member either by clearly communicating your wish to end your membership to the Management Committee, your membership being terminated by the Management Committee for disciplinary reasons, or your membership lapsing.

  • Customer data – if you have provided us with your personal data when purchasing or booking tickets this will be retained for three years following your last such purchase/booking from us at which point it will be deleted.

  • Correspondence data – if you have corresponded with us, any personal data provided will be retained for a period of no longer than three years from your last communication at which point it will be deleted.

  • Gift aid/donations – any data collected relating to gift aid or donations to Rutherglen Repertory Theatre will be retained for as long as is legally necessary.

  • Legal requirements – where we are required by law to retain any data for a longer period than stated here we will act according to these legal requirements.

 

Do we share your data?

We do not sell your data or share it with any third party for marketing or other commercial purposes.  There are a few situations where we may share your data:

  • Ticketsource – Ticketsource is contracted to provide an online ticket sales service on our behalf and as a data processor in relation to this.  Ticketsource collects your data when you make an online purchase, or when you have contacted us in another way to buy or book tickets and we have entered this data on the Ticketsource site in order to process your purchase/booking.  Ticketsource has its own privacy policy which you can read on their website (https://www.ticketsource.co.uk/kb/terms-of-use/privacy-policy).  The relevant data for purchases and bookings is therefore shared between Ticketsource and Rutherglen Repertory Theatre for the purpose of providing this service (as noted above, we do not have access to your bank/credit card details).

  • HMRC – if you have provided us with data relating to your status as a UK taxpayer in order for us to claim gift aid in relation to your donation then we will share this data with HMRC for the purposes of this claim.

  • Other legal requirements – we may share your data with any relevant authority when required by law.

 

How do we store your data?

  • Membership data – membership data is provided by you on a paper form and will be stored in hard copy through the retention of this form.  Some of this data may be transferred to electronic storage in the course of its use as described above.  For example, contacting and communicating with you may require your name and contact details to be entered in a personal computer or other electronic device.  As such, data may be stored on electronic equipment owned by members of Rutherglen Repertory Theatre’s Management Committee and on servers of email providers or cloud storage providers.

  • Customer data – customer data will be stored electronically by Ticketsource (see Ticketsource’s own privacy policy for further details on this (https://www.ticketsource.co.uk/kb/terms-of-use/privacy-policy).  Data may be transferred to be processed and stored on electronic equipment owned by members of Rutherglen Repertory Theatre’s Management Committee and on servers of email providers or cloud storage providers.

  • Correspondence data – data may be stored on electronic equipment owned by members of Rutherglen Repertory Theatre’s Management Committee and on servers of email providers or cloud storage providers.

  • Donors – data may be stored on electronic equipment owned by members of Rutherglen Repertory Theatre’s Management Committee and on servers of email providers or cloud storage providers; it may also be stored in hard copy where required by the Treasurer of Rutherglen Repertory Theatre for administration and gift aid claims.

Please note that there may be circumstances where such actions could alter the services we can provide to you – for example, there is basic information we require from members in order for membership to continue.  Furthermore, where there is a legal requirement for us to retain data we cannot alter or delete this.
